Effective Date: July 4, 2026
Arvexa ("we", "us", or "our") operates the arvexa.ai website and the Arvexa platform (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. By accessing or using the Service, you agree to the terms of this Privacy Policy.
When you register for an account, we collect your name, email address, phone number, company name, and billing information. If you contact us directly, we may receive additional information such as the contents of your message and any attachments.
We automatically collect information about how you access and use the Service, including your IP address, browser type, operating system, referring URLs, pages viewed, time spent on pages, and other diagnostic data.
Our Service processes voice calls using AI agents. We collect call metadata (duration, timestamps, phone numbers), call recordings, and AI-generated transcripts. Call recordings and transcripts are stored securely and associated with your account.
When our customers configure our AI voice agents to send SMS notifications, we collect and process the phone numbers of their end users (the SMS recipients). These numbers are captured either from the inbound caller ID or verbally provided by the end user during a phone call with the AI agent. Recipient phone numbers are used solely to deliver transactional notifications related to bookings or appointments the end user scheduled through our AI agents. We do not use these numbers for marketing, advertising, or solicitation, and we do not share or sell them to third parties for marketing purposes. SMS recipients can opt out at any time by replying STOP, CANCEL, END, QUIT, or UNSUBSCRIBE to any message — opt-outs are honored immediately by our SMS provider (Twilio). No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
We use cookies and similar tracking technologies to monitor activity on our Service and hold certain information. You can instruct your browser to refuse all cookies or indicate when a cookie is being sent. However, some parts of the Service may not function properly without cookies.
We do not sell your personal data. We may share information in the following circumstances:
We retain your personal data only for as long as necessary to fulfil the purposes described in this policy, including to satisfy legal, accounting, or reporting requirements. Call recordings and transcripts are retained for the duration of your account unless you request earlier deletion. When you delete your account, we will delete or anonymise your personal data within 30 days, except where retention is required by law.
We implement industry-standard technical and organisational measures to protect your data, including encryption in transit (TLS 1.2+), encryption at rest, access controls, and regular security audits. However, no method of electronic storage or transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
You have the right to access, correct, or delete your personal data at any time through your account settings or by contacting us. You may also request a portable copy of your data or object to certain processing activities.
If you are located in the European Economic Area, you have additional rights under the General Data Protection Regulation, including the right to data portability, the right to restrict processing, and the right to lodge a complaint with a supervisory authority.
If you are a California resident, you have the right to know what personal information we collect, request deletion of your data, and opt out of the sale of personal information. We do not sell personal information. To exercise your rights, contact us at the email below.
Your information may be transferred to and maintained on servers located outside your country of residence. If you are located outside the United States, please be aware that data protection laws may differ. By using the Service, you consent to the transfer of your data to the United States and other jurisdictions where we operate.
Our Service integrates with third-party platforms including Retell AI (voice agent infrastructure), Twilio (telephony), Stripe (payment processing), and Resend (transactional email). Each third-party service has its own privacy policy governing the use of your data. We encourage you to review their policies.
Our Service is not intended for individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that we have collected personal data from a child, we will take steps to delete that information promptly.
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Effective Date" above. For significant changes, we will send an email notification to registered users. Your continued use of the Service after changes become effective constitutes acceptance of the revised policy.
